Automatic indexing is always one of our most requested topics, and for good reason: This is a feature that tantalizes with its incredible time-saving powers, yet intimidates with its painstaking set up. But it really isn't that hard to do and it's truly worth every bit of effort and time it takes to learn how.

Whether you're in the freelance world or in court, indexing can be one of the most tedious tasks of transcript production. If you have a lot of exhibits and/or a lot of witness examinations, you can spend a long time getting all the page references correct. Then you may have to spend even more time correcting the references after you you've proofread and finalized the text.

No wonder transcript indexing is so dreaded . . . but there is a better way. Let Keith show you how to take advantage of the automatic index tools built into Eclipse. Setting it up is a methodical process, but not a difficult one, and Keith will guide you through every step.

First, he'll lay the foundation by showing you how to analyze your index pages to assess your needs. Then he'll step you through:

  • Headings For Indexes. Creating heading files for index categories.
  • Special Paragraphs. Creating paragraph formats for your indexes.
  • How My Indexes Will Sort. Ordering categories and sorting contents numerically or alphabetically.
  • Wildcards. Using wildcards within indexing lines.

Once the foundation has been laid, we starting building indexes. Topics will include:

  • The Chronological Index. Indexing proceedings in the order they appeared.
  • Alphabetical Indexes. Alphabetically sort your index of witnesses.
  • Matrix or Columnar Formats. Multi-column indexes for examinations or exhibits.
  • Repeated Index Items. Multiple instances of the same item.
  • Multi-Transcript Index. Generating a master index.

Automatic indexing requires as much time as it does to review and teach simply because there are so many different types of indexes and index styles, and because in order to use the auto indexing features themselves, you must have a firm grasp of Paragraph Controls and Form Fields.

Keith will cover the paragraph styles and controls during this suite, but for those of you who aren't completely comfortable with Form Fields, we recommend his recent webinar on that topic.
